Q: How do I register for EcoCity World Summit 2021?  
Please click here to register. The summit starts on Monday, September 27, 2021 for 4 whole days (onsite & online) full of innovative solutions for urban transformations until Thursday, September 30, 2021. Join us on 27-28 September 2021 for the in-person event in Rotterdam, Netherlands, and on 29-30 September attend the Virtual event online.

Q: If I register for the on-site event, can I also attend the virtual event? 
Yes. All on-site registrations include access to the virtual event.

Q: Can I attend only the virtual event? 
Yes. There is registration for virtual attendance only. However, registrants will be able to change their registration from virtual to on-site when it will become available, without any penalties and only paying the difference.

Q: Are the any discounted registration rates available? 
Yes. For the joint on-site and virtual registration, there are discounted rates for non-PHD students and early career professionals. For the virtual only registration, there are discounted rates for those from Low/ Lower-middle income Countries*.

In addition, we are happy to offer a discounted, early rate for those who do not qualify in the above categories. Early registration rate ends September 7, 2021.

* Low/ Lower-middle income Countries registration fee refers to Low/ Lower-middle income economies, as defined according to the World Bank Country Classification

Q: What is included in my on-site delegate registration? 
Participation in all scientific sessions

Access to sessions’ recording on demand (selected onsite sessions in Rotterdam will be recorded and will be available online)

Q: What is included in my virtual delegate registration? 
Access for to all online scientific content: pre-recorded & selected live interactive sessions
After the official Summit days – access for up to 3 months to all available content
Access to abstracts/posters online
Access to the online Exhibition Area and meet the leading industry and organizations
Access to available Industry sessions and the latest research and technology
Online networking opportunities

Q: What if I purchase an on-site registration and I need to transfer it to an online only registration? 
Yes, the on-site registration can be transferred to an online until Tuesday, August 20, 2021.

Q: Can I cancel my registration? 
Yes.  In case of cancellation at any stage, Bank transfer handling fee (30 Euro) will not be refunded – applicable to Bank Transfer payments only.

All cancellations must be electronically mailed:
-Cancellations received until and including Tuesday, September 8, 2021– full refund
-From Wednesday, September 9, 2021 no refund will be made

Q: How can I confirm my registration? 
An email confirmation and email receipt will be sent to you after registration is completed. If you have any questions or need assistance with your email confirmation, please contact reg_eco21@kenes.com 

Q: What is the overall format of the meeting?

Q: Will the sessions be available online following the end of the Summit? 
Yes, all sessions from the virtual event will be available to all registered delegates for 3 months following the closing of the event.

Q: What are the requirements for entering the Summit venue?
All delegates will need to sign a waiver stating that he/she is vaccinated OR the delegate will need to present a negative PCR test that has been completed within 72 hours of entering the venue.

Q: Do I need to be vaccinated to attend the EcoCity World Summit on-site?
No, delegates may present a negative PCR test that has been completed within 72 hours of the of entering the venue.

Q: How many people will be able to attend on-site?
To maintain a safe environment, paid in-person registration will be limited to 600 participants in accordance with the health protocols in force. As the situation with the COVID-19 pandemic evolves, the organizers will evaluate and adjust the in-person limitation with safety as its top priority.

Q: What are the current safety guidelines in place at the Summit venue (Rotterdam Ahoy)?

Q: Is there any information I need to be aware of regarding COVID-19 and travel?

Q: How do I arrive to the venue? 
Please click here to plan your route to the Rotterdam Ahoy. The Rotterdam Ahoy is accessible by car, public transport and even bike.

Q: How do I apply for a Dutch visa? 
Visa regulations depend on your nationality and country of origin. We suggest you contact your local Dutch Consulate for the official instructions on the specific visa regulations and application procedures that may apply to you. It is the responsibility of the delegate to obtain a visa, if required.

Q: How do I receive an official invitation letter from the EcoCity World submit, in order to apply for the visa? 
Invitation letters, for visa purposes, are only available to on-site registered delegates. The option to issue an invitation letter is available within the registration process. At the end of the registration process, delegates will be able to generate an invitation letter. Delegates will also receive a confirmation email with a link to the invitation letter.

Q: Is it possible to send the Invitation Letter directly to my local consulate? 
No. Unfortunately, we are not able to send invitation letters directly to consulates. All invitation letters are mailed directly to the individual only.

Q: How do I access the virtual event? 
Registered delegates will receive an email from the meeting organizer a few days before the event with a link to the virtual portal and unique login code.

Q: Do I need any specific requirement to access the meeting portal or to optimize my viewing? 
The meeting portal can be accessed from a computer, tablet, or smartphone. Please make sure you have an up-to-date browser version.

It is recommended that delegates use the best internet connection as possible. In general, wired connection are better than Wifi connections, and WiFi connections are better than cellular (3G/4G/LTE) connections. Plan ahead, and, if possible, join from a location where you can access a fast, reliable, wired connection.
Close any unused application on your computer. Virtual meetings can demand significant memory and processing power from your computer. Closing other applications during the event will help with the virtual meeting run more efficiently.
Avoid activities that steal bandwidth. Don’t start any bandwidth-intensive activities immediately prior to, or during, the event. Avoid large downloads, uploads, streaming, cloud backups, cloud file synchronizations and other high bandwidth activities.
